What you told me
- The firmVirtual, based in Norwalk, with your biggest client in California. Fourteen months in, and this season looks about twice the size of the last.
- The teamYou and a bookkeeper today, a preparer joining, and a ceiling of five to seven people.
- The clientsThree tiers: bookkeeping with advising, an advising retainer, and tax-only.
- The goalA workflow that matches the way you think, and a firm that stays ahead on technology.
I said I'd do four things after the call. All four are done.
- Look into privacy and the legal side first See how your data is handled
- Send a quick prompt before any engagement Exhibit A
- Look into Karbon's invoicing Karbon's new Engagements feature does letters, e-sign and recurring invoicing. Keep it there.
- A proposal by Friday the 16th Sent early, so you have it whenever you're ready

Something I caught for you · no charge
QuickBooks Online Accountant is being retired on December 31.
Intuit is replacing it with Intuit Accountant Suite, and the basic tier is free. Your bookkeeping clients add you as their accountant in QuickBooks, so this touches every new client. If you haven't switched yet, it's a 30-minute check:
- 1Confirm you're on Accountant Suite.
- 2Spot-check that client access carried over.
- 3Update your "add us as your accountant" instructions if the steps changed.
Accountant Suite is also adding tax workflow tracking. I haven't tested how far it goes. Worth 15 minutes before you buy any tracker, mine included.

Your data
I don't need your client data to do this work
I build and test on made-up clients.
Every name on this page is invented.
Everything runs in your accounts.
ChatGPT, Karbon and your email stay yours. I use my own seat with two-step sign-in.
Nothing goes to a client without you.
Email access is read-only and attachments are never opened.
My access ends when the work does.
You keep everything I build.
Your Section 7216 client consents and your written information security plan stay yours to own. A quick check with your counsel or insurer on using AI with client information is a good idea. This isn't legal advice.
